What an installation actually involves

A guard tour system has three parts: the checkpoints fixed at patrol points, the reader carried by the guard, and the management software where raw reads become reports. Installing it means placing the checkpoints, issuing the readers, and setting up routes in the software.

The checkpoints themselves need no power and no wiring. That is what makes a rollout fast — you are placing tags, not running cable.

Step 1 — Plan the route and checkpoint locations

Walk the site and list the points a guard must physically reach on each round: entry doors, building corners, machinery, gates, fuel stores, fence lines. Each becomes one checkpoint. The total count sets how many tags you need and, indirectly, the reader record capacity — though for normal patrol frequency, capacity is rarely the constraint.

Step 2 — Install the checkpoints

Checkpoints are passive tags — no battery, no wiring. Two common types:

  • iButton (contact): a sealed button fixed to the spot with screws or industrial adhesive, protected from weather.
  • RFID (contactless): passive 125 kHz tags in nail, button, ring or cylinder shapes. They can be installed on or beneath a surface, sealed inside non-metallic material, or embedded in equipment — reading still works through up to 5 cm of non-metallic material.
Place tags at about 1.2–1.5 m height, out of easy reach of vandalism but easy for the guard. For RFID, avoid putting solid metal directly behind the tag, since metal blocks the signal.

Step 3 — Issue the reader and guard IDs

Each guard gets one reader and one guard ID key, which binds the person to every record they make. The reader is carried in a holster on the belt. For a contact reader the guard touches the iButton; for an RFID reader they simply bring the reader near the tag — no key press needed.

Step 4 — Set up routes and schedules in the software

In the management software you define the tour (checkpoints in order), the schedule (who walks which route, in which time window), and assign guard IDs. Records are then downloaded: contact readers use a downloader cradle, while many RFID readers connect straight to the PC by USB with no download station required.

  1. Create the route from the checkpoint list.
  2. Assign the schedule and the guard.
  3. Download reader data after each shift.
  4. Generate the report and review on-time vs missed points.

Step 5 — Test one full patrol

Before going live, run one trial patrol, download the data, and confirm the report shows the correct checkpoints, times and guard. Adjust the route or schedule if anything is off. This catches a misplaced tag or a wrong time window before it affects real records.

Ongoing maintenance

A guard tour system asks little of you day to day. Replace a disposable cell about every 18 months, or recharge a rechargeable reader; periodically check that tags are still firmly fixed; and export records per shift so the history stays current. The hardware itself is built to survive drops, crushing and water — IP68 on current readers.
